JOB TITLE: Office Manager / Front Desk Coordinator

REPORTS TO: Program Manager - Staffing

FLSA STATUS: Full-Time, Non-Exempt, Hourly

Job Summary:

We’re looking for a highly organized, upbeat, and resourceful Office Manager / Front Desk Coordinator to be the face and heartbeat of our studio. This is a fully on-site position, essential to keeping our creative space running smoothly and welcoming for everyone who walks through the door.

In this role, you’ll oversee front desk operations, support the Facilities Manager in maintaining our physical studio, and help foster a positive, efficient, and inspiring workplace culture — the kind of environment where great teams and collaboration thrive.

Key Responsibilities:  

Front Desk & Administrative Support

  • Greet and assist visitors, partners, and vendors with professionalism and warmth

  • Manage phones, deliveries, and daily correspondence

  • Coordinate meeting spaces, team events, and travel logistics

  • Maintain office supplies and ensure shared areas are organized, stocked, and tidy

  • Manage parking space allocation and access for staff and visitors.

  • Provide general administrative support to studio leadership and department teams

Studio & Facilities Operations

  • Work closely with the Facilities Manager to maintain a safe, functional, and creative studio space

  • Maintain facilities budgets and track expenses related to maintenance, supplies, and capital improvements.

  • Coordinate maintenance requests, vendor services, and building management communication

  • Monitor and schedule facility repairs, cleaning, and maintenance services

  • Assist with workstation setups, office moves, and studio layout planning

  • Manage building access, security badges, and visitor logs

  • Track inventory of furniture, equipment, and supplies

Culture & Team Support

  • Help plan and execute studio events, celebrations, and team-building activities

  • Promote a welcoming, inclusive, and energetic studio culture

  • Support initiatives that enhance the day-to-day experience of in-studio staff

Required Skills/Abilities:

  • Excellent organizational and communication skills

  • Strong attention to detail and ability to multitask in a fast-paced creative environment

  • Proficiency with Microsoft Office, Teams, Outlook, Excel, PowerPoint, Word, etc.

  • Positive, proactive attitude and service-oriented mindset

  • Ability to work on-site full-time (this is not a remote or hybrid position)

Education and Experience:

  • 2+ years of experience in office management, facilities coordination, or administrative support

  • Experience managing budgets and tracking operational costs.

Preferred Qualifications:

  • Familiarity with facilities systems, vendor management, or project tracking tools

  • Experience in the video game, creative, or entertainment industry a plus

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer

  • Must be able to lift up to 15 pounds at times

Work Environment:

  • This role routinely requires using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers

  • This position may require the ability to stoop, kneel, crouch, or crawl

  • Must be able to operate various electronic devices

Position Type/Expected Hours of Work:

This is a full-time, in-person position at our video production studio near Novelty Hill in Redmond, WA. The role involves working in both office and studio settings. The studio generally operates from 9 a.m. to 5 p.m., but the days and hours of this position may vary week-to-week and require occasional work during off-hours or weekends to support production schedules, shipments, or emergency maintenance.   • Pursuant to state and local pay disclosure requirements, the pay range for this role is $35-$40 per hour. Compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
