JOB TITLE: HR Operations Coordinator
REPORTS TO: Director of Business Operations
FLSA STATUS: Non-Exempt, Full-time, Hourly
Job Summary:
The HR Operations Coordinator plays a key role in ensuring the smooth day-to-day functioning of the office, with a strong focus on supporting the Human Resources department. This position provides critical administrative and logistical assistance across core HR and business operations. Within Human Resources, responsibilities include interview scheduling, onboarding and offboarding administrative tasks, reconciling HR-related reports or invoices, and supporting process improvements to boost efficiency and enhancing the employee experience. In the broader Operations scope, this role will manage facilities, drive culture-building initiatives, and help maintain an organized, welcoming workplace. The ideal candidate is detail-oriented, highly organized, and energized by supporting teams and streamlining systems behind the scenes.
Essential Functions:
Human Resources Support:
Employee File Management: Maintain employee records and personnel files, ensuring confidentiality and compliance.
Prepare and send HR documents (offer letters, agreements, policy acknowledgments, exit letters, etc.) using Adobe Sign to ensure secure electronic signature tracking.
Hiring Coordination: Schedule and coordinate interviews between candidates and hiring teams, ensuring clear communication and smooth candidate experience.
Onboarding Support: Support the onboarding process by preparing new hire paperwork, sending welcome emails, scheduling Day 1 meetings, and ensuring a seamless start for incoming new hires.
Lead and coordinate onboardings, ensuring smooth and professional experience for new hires.
Offboarding Support: Assist with offboarding tasks, including but not limited to coordinating exit checklists, collecting company equipment, and supporting final administrative processes.
Auditing and Reconciling: Conduct audits of various HR-related reports or invoices (e.g., I-9 verifications, EEO reporting, benefit invoices, etc.) for accuracy, identify discrepancies, and ensure data integrity across all systems.
Benefit Support: Assist with new hire benefits enrollment, manage changes due to Qualifying Life Events, and support other benefit-related communications.
Operations Support:
Facility Management: Coordinate office operations, manage and schedule vendors, attend all facility-related meetings, and maintain overall office organization[SR3]
Administrative Support: Manage incoming company mail, multiple Outlook inboxes and calendars, and provide cross-functional team support.
Company Engagement: Support planning and execution of company events, community initiatives, and employee appreciation activities.
Documentation & Systems: Maintain internal process documents and ensure SharePoint and systems are accurate and up to date.

Required Skills/Abilities:
Strong organizational and time-management skills
Excellent communication skills, both written and verbal
Proactively identifies problems and proposes solutions without prompting
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and SharePoint
Ability to manage sensitive information with confidentiality and discretion
Knowledge of HR processes, including I-9 verification, onboarding/offboarding procedures, and employee recordkeeping
Familiarity with benefits administration and HRIS systems
A collaborative mindset with a willingness to support various teams and functions
Meticulous attention to detail, with a high standard for accuracy and completeness
Education and Experience:
2–4 years of experience in Human Resources, Operations, or Administrative Support roles
Preferred experience in an Executive Assistant capacity
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 25 pounds at times.
Work Environment:
This role routinely requires using standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers.
Must be able to work at a computer or audio equipment for long periods of time
Position Type/Expected Hours of Work:
This is a full-time in-office role. The office generally operates from 9 a.m. to 5 p.m. Mighty Media’s workplace policies are subject to change at any time based on business necessity and manager discretion.

Pursuant to state and local pay disclosure requirements, the pay range for this role is $28-$33 per hour. Compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
